Privacy Policy

Effective date: October 31, 2026

This policy covers the "Intellis agents read only" QuickBooks Online app (the "App"), operated by Warshaw Group, Inc. dba Intellis Labs ("Intellis", "we"), 600 5th Ave, Floor 2, New York, NY 10020.

Who the App is for

The App is an internal tool. It is connected only to Intellis's own QuickBooks Online company, by an Intellis administrator, for Intellis's own financial planning. It is not offered to customers or the public.

What the App reads

With the permission granted when an administrator connects it, the App reads these QuickBooks reports:

• Profit and Loss
• Balance Sheet
• Transaction List by Vendor (vendor names, dates, transaction types, memos, accounts and amounts)
• Company information (company name)

The App does not create, change or delete anything in QuickBooks. It does not read payroll, payment card or bank account numbers, and it does not use QuickBooks Payments.

How we use it

We use this data only to:

• find recurring software and service charges and keep our internal software register up to date
• prepare internal budgets, compare budget to actual results, and track cash and runway

We do not sell the data, use it for advertising, or share it with anyone outside Intellis except the service providers below.

Where it is processed and stored

• Microsoft Azure (Intellis's own tenant, United States): the App runs there. Its outputs (internal reports and the software register) are stored in Intellis's private Azure storage. Access is limited to Intellis staff, through Microsoft Entra ID sign-in.
• Azure Key Vault: the App's QuickBooks access tokens are stored encrypted there, never in code or reports.
• Anthropic (Claude API): our internal AI agents send the report data to Anthropic's API to analyze it. Under Anthropic's commercial terms, API data is not used to train its models.

All data is encrypted in transit (TLS) and at rest.

Retention and deletion

QuickBooks data is read when an agent runs. It is not kept as a separate copy, apart from the internal reports and register entries made from it. We keep those as long as they are useful for budgeting and audit, and delete them when they are no longer needed.

Disconnecting

An administrator can disconnect the App at any time in QuickBooks Online: Settings > Manage apps (or the Apps menu). Disconnecting revokes the App's access immediately: the stored tokens stop working, and we then remove them.
